JOB PURPOSE:                    

MAIN DUTIES AND RESPONSIBILITIES:

 

RECEPTION

  • To operate a Reception Service that promotes a professional image for OASB
  • Meeting and greeting everyone who enters the academy in a friendly and appropriate way
  • Signposting visitors to the appropriate member of staff and taking them to the staff member when required
  • Assisting visitors with the Academy sign-in system
  • Processing telephone calls and emails and ensuring appropriate action is taken
  • Operating standard office equipment, e.g. fax machine, photocopier
  • To receive all mail and deliveries, managing returns as necessary
  • Distribution of incoming mail.
  • Organisation of external post
  • Processing letters/emails/texts to go home to parents
  • Completing daily ‘Correction’ calls to parents in a timely manner
  • Ensure any students who are late or leaving early are signed in/out correctly
  • Signing in of late students, ensuring correct sanctions are given
  • Ensure that face to face enquires are dealt with appropriately

 

ADMIN

  • Ensuring that all student data is correct on the system-chasing up email addresses and mobile phone details that are out of date-continually updating student records. To input information onto the computer database and to extract information as instructed, which may require some manipulation.
  • Ensuring all appropriate permissions on record
  • Inputting of new student data and information
  • Maintain student files in an organised manner
  • To undertake word processing of documentation (letters, reports, memos etc) including collation for documentation packs as required and making layout presentation decisions.
  • Ordering equipment and resources as required and in a timely manner
  • Ordering and managing deliveries of uniform
  • Managing and collating assessment reports
  • Support with administration for school trips
  • Work with parents, Finance Manager and the catering team to ensure Parent Pay is used correctly and that payments are kept up to date. 
  • To conduct annual audits of student contact details
  • Communication, via email, phone or text, to parents, as required
  • To assist with the implementation of school administration policies, such as the student absence monitoring system.  This could involve checking documents for errors, resolving queries and inputting of straightforward data on computer systems.
  • Work as part of non-teaching team team
  • To carry out such other administrative tasks and duties as required by the line manager appropriate to the grading of the post.

CORE CURRICULUM ADMINISTRATION

  • Undertake administrative tasks as requested by core curriculum leaders
  • Use photocopiers, scanners, laminators and other office equipment to support core curriculum administration and resource creation
  • Processing student assessment results
  • Updating displays of student work around the school in classrooms and corridors
  • Ordering equipment and resources as required and in a timely manner
  • Compile exam papers, working with the teachers to ensure the layout is correct
  • Support with administration regarding school and subject specific trips
  • To maintain stocks of stationery and office supplies and oversee stocktaking.
  • Organise meetings between parents and staff as required
  • To carry out such other administrative tasks and duties as required by the line manager appropriate to the grading of the post
  • Under take break time duties as required by Deputy Principal

 

GENERAL

 

  • To administer the Academy fire registers as required
  • To support the Schools aims and values.
  • To support the network of clerical and administrative staff.
  •  To undertake appropriate personal and professional training as may be required, particularly in relation to updating IT skills e.g. knowledge of School SIMS Software, use of E-Mail, websites and use of generic admin software (MS Office).
  • To participate in the school’s Performance Management process.
  • Other such tasks as required by the line manager
